As an Office Manager, you are a professional and friendly host who is responsible for the efficient functioning of an office through a range of administrative, financial and managerial tasks. 

  • You present a professional and welcoming first contact to all clients, staff, board members, facility suppliers, etc. by phone, in person, and email.
  • You handle phone calls, transfer them, and take messages when needed.
  • You are in charge of mail management, processing mails and mail packages, as well as sending them by going to the post office.
  • You order office equipment and supplies.
  • You organize meetings and events when needed.
  • You order business lunches for internal meetings.
  • You order flowers and/or gifts for internal and external purposes.
  • You make travel arrangements for our people, including transport and accommodation when needed (taxi, uber).
  • You keep our building tidy and in top shape, ready to show or to use at any time. Nothing escapes your attention when it comes to keeping the reception room, offices, common areas, and meeting rooms in perfect and safe condition.

You handle administration linked to your tasks and orders, following up and communicating with the finance team and other teams if needed.

You conduct a daily check-up of the building, paying attention to the reception area, offices, meeting rooms, kitchen, beverages, bins, snacks' machines, and the economat (paper, bic, envelopes, toner).

  • You possess valuable skills in using software packages such as Office suite (Word, Excel, Outlook, Teams), SAP/rOar, SD Worx, and the phone system.
